Terms & Conditions

The Core Reformery reserves the right to amend these terms and conditions as and when it deems necessary, with, or without notice to the clients, in any manner as The Core Reformery may decide.

 

BOOKING AND REGISTRATION​

 

1.1 Eligibility and Payment

Members may only book and attend classes upon full payment of all applicable fees. The Core Reformery reserves the right to deny access to any class or session if payment is incomplete or if there are unresolved account issues.​

 

1.2 Booking Windows

Class slots are allocated on a first-come, first-served basis, except for recurring private bookings, which may be arranged with the studio in advance.

  • Group classes may be booked up to 2 weeks in advance

  • Private sessions may be booked up to 3 weeks in advance

  • All bookings open at 9.00am (SGT) on the respective release day.​

 

1.3 Sharing and Non-Transferability

Select class packs may be designated as shareable and can be used by multiple individuals, as explicitly stated at the time of purchase. However, individual class bookings are strictly non-transferable and must only be attended by the member whose name the booking was made under. Unauthorised transfers or substitutions are not permitted under any circumstances.

1.4 Minimum Age Requirement

All participants must be at least 17 years old to attend any class, unless prior written consent is given by The Core Reformery. Additional documentation or parental consent may be required for minors.


1.5 Medical Clearance

Members who are pregnant or in postnatal recovery must obtain medical clearance from a qualified healthcare provider before attending any class at The Core Reformery. The Core Reformery reserves the right to request proof of clearance and may deny class participation if a member is deemed medically unfit or at risk. This is to ensure the safety of the member and uphold the quality of instruction.

1.6 Member Responsibility

Group classes at The Core Reformery are not designed for injury rehabilitation or complex medical conditions. Members are responsible for booking classes appropriate to their fitness level and physical condition. The Core Reformery reserves the right to deny entry or participation in any class if a member is deemed unsuitable due to injury, medical limitations, or safety concerns. In such cases, the member may be advised to opt for a private session, which allows for a more tailored and safe approach. This policy is strictly enforced to ensure the safety and quality of experience for all participants.

CONDUCT OF STUDENTS AND ATTIRE

​

2.1 General Conduct

Members must observe all studio rules and guidelines related to etiquette, discipline, conduct, and class procedures, as set by The Core Reformery. Disruptive, disrespectful, or non-compliant behaviour may result in denial of entry, suspension, or termination of membership at the sole discretion of the studio.

​

2.2 Grip Sock Policy

Non-slip grip socks are mandatory for all classes at The Core Reformery. This is strictly enforced for hygiene, safety, and injury prevention. Members who arrive without grip socks may be required to purchase a pair before being allowed to participate in class.

CLASS ATTENDANCE AND LATENESS POLICY

​

3.1 Group Class Cancellations

Members may cancel a group class without penalty by doing so through The Core Reformery app at least 12 hours before the scheduled start time. Late cancellations or no-shows will result in the class credit being automatically deducted. No exceptions will be made unless explicitly approved by The Core Reformery.

 

3.2 Private Session Cancellations

Members may cancel private sessions without penalty by doing so through The Core Reformery app at least 24 hours before the scheduled start time. Cancellations made less than 24 hours in advance will result in full deduction of the session credit. No refunds or rescheduling will be permitted outside the cancellation window.

3.3 No Refunds for Late Cancellations

Credits forfeited due to late cancellations or no-shows are strictly non-refundable, regardless of reason.

3.4 Punctuality and Late Arrivals

Members are required to arrive on time for all classes. A member is considered late if they arrive more than 10 minutes after the scheduled start time. Instructors reserve the right to deny entry to latecomers to maintain safety and class flow.

 

3.5 Third-Party Platform Bookings (e.g. ClassPass)

Members who book via third-party platforms such as ClassPass and arrive late or are denied entry will still be marked as absent. Requests to be marked present to avoid penalties will not be entertained. Any concerns should be directed to the respective platform.

 

3.6 Minimum Attendance Requirement

Group classes require a minimum number of confirmed participants to proceed, as determined by The Core Reformery. If the minimum is not met, the class may be cancelled up to 2 hours before the scheduled start time. In such cases, affected members will be notified and the credit will be returned.

CREDIT WAIVER AND REFUND POLICY​

 

4.1 All Sales Are Final

All purchases of class credits, gift cards, packages, and memberships are strictly non-refundable, whether used partially or in full. This applies regardless of reason, including but not limited to illness, injury, travel, changes in schedule, or personal circumstances. Unless explicitly stated, all packages are non-shareable and non-transferable.

4.2 Waivers for Medical Reasons

Members may request for a credit return if the reason for a late cancellation or no-show is due to medical reasons, supported by certified medical documents. Submissions without valid documentation will not be considered.

 

4.3 Submission Process and Deadline

All waiver requests must be submitted via The Core Reformery app under the ‘Class Waiver’ section within 1 day of the missed class or relevant incident. Late submissions will not be accepted.

4.4 Validity of Returned Credits

Credits granted through an approved waiver are valid for 1 month from the date of approval. Any unused credits after this period will automatically expire and cannot be extended or refunded.

​

4.5 Annual Waiver Limit (Effective 1 January 2026)

From 1 January 2026, members will be limited to a maximum of two (2) approved medical waivers per calendar year. This applies to both group classes and private sessions. Additional requests beyond this limit will not be approved. Members may opt to redeem a Chill Waiver using Core Points, if available, to avoid forfeiting a credit.

 

 

 

 

CLASS PACK ROLLOVER AND EXTENSION POLICY

 

5.1 Fixed Validity Period

All class packs and gift cards have a fixed validity period as stated at the time of purchase. The validity period begins on the date of purchase, unless otherwise specified. It is the member’s responsibility to track and utilise their credits within the given period. Credit validity and expiry dates can be viewed at any time via The Core Reformery app.​

 

5.2 No Automatic Extensions

Expired gift cards will not be reinstated or extended, and expired credits will not be reactivated, rolled over, or extended unless otherwise stated, such as through the purchase of a new package (rollover) or an Extension Pass applied before expiry. Extensions will not be granted due to forgetfulness, unused credits, travel, or difficulty securing a booking. Members who are unable to book their preferred slots are advised to plan ahead or consider using an Extension Pass.

5.3 Extension Pass

Members may purchase an Extension Pass for a fee of $14, which extends their class pack by 2 weeks from the original expiry date. Multiple Extension Passes may be purchased for consecutive extensions. To activate the extension, members must submit a request via The Core Reformery app before the class pack expires. Extension Passes can be redeemed using Core Points (if applicable) or paid directly.

5.4 Medical Extensions (Injury/Illness)

Members who are unable to attend classes due to medical reasons may request a class pack extension, supported by a valid medical certificate or doctor’s letter clearly stating the required rest period. Extensions will be granted based strictly on the documented duration and are capped at a maximum of 8 weeks per calendar year, regardless of the number or frequency of medical submissions. Any additional extension must be made through the purchase of an Extension Pass.

5.5 Class Pack Rollover

Members may request a rollover of up to five (5) unused credits from their current class pack upon purchasing a new class pack. The validity of the rolled-over credits will follow the expiry date of the newly purchased pack. Rollover requests must be submitted via The Core Reformery app before the current class pack expires. Late or retroactive rollover requests will not be accepted. 

 

 

 

MONTHLY MEMBERSHIP CANCELLATION & SUSPENSION POLICY

​

6.1 Minimum Commitment

All monthly membership plans are subject to a minimum commitment of three (3) consecutive months, unless otherwise stated. Termination of membership before completing this commitment will incur a $50 administrative fee. No refunds will be issued under any circumstances. To request early termination, members must contact the studio via WhatsApp at 8598 2408.

 

 

6.2 Membership Cancellation

After the minimum commitment period, members may cancel their membership at any time. Cancellation requests must be submitted via WhatsApp at least 5 days before the next billing cycle to avoid being charged for the following month. Late requests will result in one final charge, and the membership will be cancelled in the following cycle.

 

6.3 Membership Suspension

Members are entitled to one complimentary 2-week suspension after the initial 3-month commitment period.

For any additional suspensions, the following fees apply:

  1. $30 flat fee per suspension (up to 30 days), or

  2. $10 per week for shorter suspension periods

Members may suspend their membership up to twice per calendar year. Suspension requests must be submitted via WhatsApp to 8598 2408, at least 5 business days before the next billing cycle. Backdated or mid-cycle suspension requests will not be granted.​

​

6.4 Class Cancellation Policy for Members

All members must cancel group classes at least 12 hours before the scheduled start time.

For limited memberships: late cancellations will result in forfeiture of credit

For unlimited memberships:

  1. Late cancellation fee: $10

  2. No-show fee: $20

​

6.5 No Refunds

Monthly membership fees are strictly non-refundable, regardless of attendance, usage, travel, illness, or changes in personal schedule.​​

 

 

CLASS SCHEDULE CHANGES

 

7.1 Right to Modify Schedule

The Core Reformery reserves the right to change or cancel any scheduled class, instructor, or class type when necessary. This includes adjustments to class timing, format, or duration, as well as instructor substitutions. No specific instructor is guaranteed for any session.

 

7.2 Class Cancellation Due to Low Attendance or Operational Needs

Classes may be cancelled up to 2 hours before the scheduled start time due to low attendance, instructor unavailability, or other unforeseen operational reasons. Affected members will be notified via the app, email, or WhatsApp. Class credits will be returned automatically where applicable.

 

7.3 Studio Closures & Public Holidays

The studio may close temporarily during public holidays, maintenance periods, or other special circumstances. These closures may affect class availability. No refunds, extensions, or make-up credits will be provided for scheduled closures.

7.4 Notifications & Member Responsibility

All schedule changes or cancellations will be communicated through The Core Reformery app, via WhatsApp and/or email. It is the member’s responsibility to ensure that their contact information is accurate and up to date. The Core Reformery is not liable for missed notifications due to outdated or incorrect member contact details.

​

7.5 No Compensation for Changes

Requests for package extensions, refunds, or compensation due to schedule changes, class cancellations, or instructor substitutions will not be entertained.

 

 

CORE POINTS LOYALTY PROGRAMME

 

8.1 Purpose

The Core Points programme is designed to reward members for consistent engagement, class attendance, and participation in studio initiatives. Points earned may be used to redeem rewards such as merchandise, class extensions, or other perks, as determined by The Core Reformery.

 

8.2 Earning Points

Core Points may be earned through eligible activities such as attending classes, participating in campaigns, referring new members, or completing specific studio challenges. The Core Reformery reserves the right to determine which actions earn points and how many points are awarded.

 

8.3 Redemption & Conditions

Core Points can be redeemed for eligible rewards, including Chill Waivers, Extension Passes, merchandise, or other items. Redemption is subject to availability and may change without prior notice. Points are non-transferable, non-exchangeable for cash, and may only be redeemed by active members.

8.4 Inactivity & Forfeiture

Members who have not attended any class or made a qualifying transaction for 90 consecutive days will be deemed inactive, and all accumulated Core Points will be forfeited, regardless of reason. Activity resets upon class attendance or completion of a point-earning action.

 

8.5 Misuse or Fraud

Any suspected misuse, manipulation, or fraudulent activity related to the Core Points programme may result in immediate forfeiture of points and removal from the programme.

 

8.6 Programme Changes

The Core Reformery reserves the right to change, suspend, or terminate the Core Points programme at any time, including point values, earning and redemption mechanics, and eligibility criteria. Any changes will be communicated via the studio's official channels.

 

 

INDEMNITY​

 

9.1 Assumption of Risk

While every care will be taken to ensure the wellbeing of members during classes, Pilates may be physically strenuous and carries inherent risks. By participating, members acknowledge and accept that there is a risk of personal injury, and they voluntarily assume full responsibility for any consequences arising from their participation.

 

9.2 Waiver of Liability

To the fullest extent permitted under applicable laws and regulations, The Core Reformery shall not be liable for any loss, damage, injury, death, penalty, cost, expense, or any other consequences arising from or in connection with participation in any of its classes, sessions, or programmes.

​

9.3 Indemnification

Members agree at all times to indemnify and hold harmless The Core Reformery, its management, members, and staff against all losses, liabilities, claims, actions, proceedings, orders, penalties, and costs (including legal fees on a full indemnity basis), howsoever arising in connection with these Terms & Conditions or their participation in any studio-related activity.

 

 

INTELLECTUAL PROPERTY & MEDIA USE

10.1 Ownership of Content

All intellectual property related to The Core Reformery — including but not limited to class materials, programme structures, branding, photography, videography, social media content, and website content — remains the sole property of The Core Reformery. Members may not copy, reproduce, distribute, or use any such materials for commercial or personal purposes without written consent from the studio.

 

10.2 Studio Use of Photography and Videography

The Core Reformery may occasionally take photographs or videos during classes, events, or in-studio activities for marketing, promotional, or documentation purposes. By entering the premises or participating in studio activities, members grant the studio the right to use such media featuring their likeness, voice, or image, without compensation, in perpetuity and across all platforms.

10.3 Member Rights & Opt-Out

Members who do not wish to be photographed or recorded must inform the instructor before the start of the session. Reasonable efforts will be made to accommodate such requests, but complete avoidance of incidental capture cannot be guaranteed in group settings.

​

10.4 Personal Recording Restrictions

Prior approval by The Core Reformery must be granted before any form of recording (photography or videography) is taken within the studio. All approved recordings are strictly for personal use only and may not be used for any commercial purpose. Unauthorized recording or use of studio content is strictly prohibited.

​

10.5 Respect for Others’ Privacy

Members may not record, photograph, or film other participants or instructors during classes without express consent. Any violation of this policy may result in immediate removal from the class or studio.

 

 

 

 

DATA PROTECTION

​​

11.1 Collection of Personal Data

The Core Reformery collects personal data such as names, contact details, medical declarations, and payment information solely for the purpose of providing and managing studio services, ensuring safety, and communicating important updates.

 

11.2 Use and Disclosure

Personal data may be used for booking management, emergency contact, class reminders, membership administration, and marketing communication (where consent has been given).

Your information will not be shared with third parties except where necessary to deliver our services (e.g. payment processors or booking platforms), or as required by law.

 

11.3 Data Access and Accuracy

Members are responsible for ensuring that their personal information is accurate and up to date. You may request access to or correction of your data by contacting the studio directly.

 

11.4 Marketing Communications

By providing your contact information, you agree to receive relevant updates and promotional content from The Core Reformery. You may opt out at any time via the unsubscribe link or by contacting us directly.

​

11.5 Data Security

All reasonable measures are taken to protect your personal data from unauthorised access, modification, or disclosure. However, no digital system is entirely secure, and The Core Reformery disclaims liability for unauthorised access that is beyond its control.

STUDIO DISCRETION & GOVERNING LAW

​

12.1 Right to Interpret, Enforce, and Amend

The Core Reformery reserves the right to interpret, modify, update, or enforce any of the policies and Terms & Conditions stated herein at its sole discretion. This includes (but is not limited to) policies relating to class attendance, cancellations, extensions, memberships, waivers, and the Core Points loyalty programme.

12.2 Final Decision

In the event of any dispute, ambiguity, or special circumstance not expressly covered in these Terms & Conditions, The Core Reformery’s decision will be final.

​

12.3 Governing Law

These Terms & Conditions shall be governed by and construed in accordance with the laws of Singapore.
